Who we are
Samys Cut is a barbershop at 213 Albert Rd, Southsea PO4 0JP. We are the “controller” of the personal data collected through this website, which means we decide how it is used and are responsible for looking after it under UK data protection law (the UK GDPR and the Data Protection Act 2018).
Questions about your data? Call us on 07428 425242 or ask in the shop.
What we collect
When you book online or sign in to manage your bookings, we collect:
- Your name, so the barber knows who is coming in.
- Your email address, so we can send you a sign-in link and you can see, change or cancel your bookings.
- Your booking details: the date, time and service you chose. If you book for other people at the same time (for example your kids), we also keep the first name you enter for each of them.
A few other things can end up attached to your bookings:
- The barber can add short notes to a booking or your customer record, such as how you like your cut. If you book in person or by phone, the barber may also add your name and, if you give it, your phone number.
- Like every website, our hosting providers automatically log basic technical information (such as your IP address and browser type) to keep the site running and secure.
That’s it. We don’t collect payment details on this website. You pay in the shop, and that payment has nothing to do with the site.
Why we use it
UK law asks us to explain the legal reason (“lawful basis”) for each use:
- To take and manage your booking (name, email, booking details). We need this to provide the service you asked for, so the basis is contract.
- To send sign-in links to your email when you log in. This is part of managing your booking, so it is also contract.
- Barber notes, booking history and walk-in records, so we can give you the cut you like and run the diary properly. The basis is our legitimate interests in running the shop.
- Technical logs, to keep the site secure and stop misuse. The basis is our legitimate interests.
Emails
The only emails this website sends are the sign-in links you ask for when you book or log in. We don’t send newsletters, offers or reminders, and we won’t add you to any mailing list. There’s nothing to opt out of.
Cookies
We only use the cookies needed to keep you signed in to your account. They are strictly necessary for the site to work, so we don’t need to ask for consent. We don’t use advertising, tracking or analytics cookies.
Who we share it with
We never sell your data or share it for marketing. We use a small number of trusted service providers who process it only on our instructions:
- Supabase, which stores our booking database and handles sign-in. Our database is hosted in London, UK.
- Resend, which delivers the sign-in emails to your inbox.
- Vercel, which hosts this website and keeps short-term technical logs.
- OpenFreeMap, which supplies the map on our home page. Your browser requests the map images directly from them, which shares your IP address. No personal details are sent.
Some of these providers may handle data outside the UK. Where that happens, they protect it with safeguards approved under UK law, such as the UK International Data Transfer Addendum. We may also share information if the law requires us to.
How long we keep it
- Your name, email and booking history are kept while you are a customer, and deleted 12 months after your last booking.
- If you ask us to delete your account, we’ll do so within one month.
- Technical logs are kept by our providers for a short time, usually no more than a few weeks.
Your rights
Under UK data protection law you have the right to:
- Get a copy of the personal data we hold about you, including any barber notes.
- Have anything inaccurate corrected. You can change your name yourself in My bookings.
- Have your data deleted.
- Object to, or ask us to limit, how we use it.
- Get your data in a portable format.
To use any of these, call us on 07428 425242 or ask in the shop. It’s free and we’ll reply within one month. We may need to check it’s really you first.
Children
Kids’ cuts should be booked by a parent or guardian. We only collect a child’s first name when an adult enters it as part of their own booking.
Keeping it safe
All the personal data we collect (your name, email, bookings and any barber notes) is stored in one place: our Supabase database, hosted in London, UK. We don’t keep copies anywhere else. Access is locked down so only you can see your own bookings and only the shop owner can see the full diary, and everything sent between your browser and our site is encrypted.
Complaints
If you’re unhappy with how we’ve handled your data, please talk to us first and we’ll do our best to sort it. You also have the right to complain to the Information Commissioner’s Office (ICO), the UK data protection regulator, at ico.org.uk or on 0303 123 1113.
Changes to this policy
If we change how we use your data, we’ll update this page and the “last updated” date at the top.
